Terms and Conditions
These Terms and Conditions outline important policies related to enrollment, payments, cancellations, and participation.
Payments and Refunds.
A $25.00 deposit must accompany an application for it to be considered complete. Deposits are fully refundable (minus a 2.9% card processing fee) within a 24-hour grace period. Withdrawals made after acceptance into the program and paid deposits, but at least 4 months before the adventure’s first day, are refundable, minus $99.00 and any applicable card processing fees. Withdrawals made within four (4) months of the adventure’s start date are non-refundable. This includes an enrolled participant’s sickness, injury, illness, or a family member’s death.
Participants must submit a written notice of withdrawal to our office via email ([email protected]) before our team processes refunds.
After enrollment approval, Bridgeford Adventures will send an invoice for the balance to the participant’s parent(s)/guardian(s) (referred to collectively herein as “Parents”). Parents must pay the invoice balance within 30 days by check or postal money order. Card payments are also acceptable, but are subject to a card processing fee.
Early Dismissals.
If a participant needs to leave a Bridgeford Adventures program after it has begun, even if temporarily, Parents are responsible for all costs associated with the departure, including airfare, transportation, additional supervisory costs, and any other costs incurred by Bridgeford Adventures. This includes early dismissals for medical needs/emergencies, disciplinary reasons, personal equipment failures, physical inability, or other reasons.
Additionally, Bridgeford Adventures reserves the right to make no refunds for any reason when a participant leaves a program after it has begun. This policy applies regardless of whether the early dismissal is voluntary or required.
To prepare for unforeseen circumstances or emergencies that may cause a family to entirely cancel or end a participant’s trip prematurely, we encourage all families to consider purchasing a travel protection plan that includes trip cancellation and trip interruption coverage.
Program Cancellation.
Bridgeford Adventures reserves the right to cancel a program for any reason prior to its start or after it has begun.
In the event of a program cancellation prior to its start, for reasons other than an event of force majeure, we will do our best to place the participant in another program of the family’s choice, or, if that is not possible, to refund all tuition received (minus any applicable card processing fees). In the unlikely event that it becomes necessary to terminate a program in progress for reasons other than a force majeure event, Bridgeford Adventures will refund the program tuition on a daily prorated basis (minus any applicable card processing fees).
Should Bridgeford Adventures cancel a program prior to its start or terminate a program in progress due to an event of force majeure, Bridgeford Adventures reserves the right to issue no full or pro-rated refunds. In a case where an event of force majeure causes a trip cancellation or termination, we will, however, do our best to place the participant on another program of the family’s choice.
Because Bridgeford Adventures expressly reserves the right to issue no refunds in the event of a program cancellation due to an event of force majeure, we encourage all families to purchase a travel protection plan that includes trip cancellation and trip interruption coverage.
An event of force majeure includes, but is not limited to, fires, hurricanes and other storms, earthquakes, flooding, volcanic eruptions, pandemics and epidemics, terrorism, and state or international conflict.
Itinerary Changes.
Brideford Adventures makes all reasonable efforts to follow the itineraries described on our website and in any of our printed materials as closely as possible. However, program itineraries can change without notice due to weather, mechanical/gear difficulties, transportation interruptions, vendor issues, or other unforeseen circumstances. In the event of an itinerary change, Bridgeford Adventures will not issue any full or partial refunds.
Participant Expectations
Participants with Bridgeford Adventures are expected to be highly motivated, positive, eager to meet others, and cooperative. Our participants are expected to abide by all rules and the code of conduct. Additionally, participants are expected to follow the trip leaders’ instructions. Bridgeford Adventures reserves the right to dismiss (without refund) any participant who cannot follow these expectations, engages in disruptive behavior, does not follow our rules, or engages in any unlawful acts.
Bridgeford Adventures staff will have conversations with participants after the first occurrence of disruptive behavior. Continued disruptive behavior may be grounds for early dismissal. Bridgeford will contact parents of participants who continue to engage in disruptive behaviors to discuss an appropriate course of action.
Disruptive behaviors include, but are not limited to, excessive foul language, bullying, passive-aggressiveness, and other behaviors that impact staff’s ability to lead programs or create an environment where other participants are not comfortable.
Additionally, some participants may struggle with mental health symptoms. While at least one trip leader of each group is trained in Youth Mental Health First Aid, our field staff are not equipped to support youth experiencing mental health illness while in the field. Participants exhibiting disordered eating, threats of self-harm or suicidal ideation, severe depression, prolonged anxiety, and/or homesickness may be dismissed early. Our team will make every effort to support, care for, and encourage young people experiencing a mental health crisis while arrangements are made. We will never abandon any youth experiencing a mental health crisis until they are in a safe environment.
All costs (including, but not limited to, additional supervisory and transportation costs) associated with early dismissal will be the responsibility of the participant’s parents.
Notice of Changes
Bridgeford Adventures reserves the right to change its Terms and Conditions at any time without notice to any party.
